Volanté Software Inc. has developed a hospitality point-of-sale (POS) system and POS & Customer Relationship Manager (CRM) software. Customers operate in industries such as healthcare, education, food services, restaurants, retirement and senior living communities, attractions, stadiums, and events.

This Privacy Statement informs you about how Volanté Software Inc. (“Volanté”, “we” or “us”) collects, uses, discloses, and protects your personal data in delivering our Services. As a member of the Digital Advertising Alliance and Digital Advertising Alliance of Canada, we provide enhanced notice regarding our use of advertising cookies and tracking technologies for interest-based advertising.

1. When Does This Privacy Statement Apply?

This Privacy Statement applies when you visit volantesystems.com, submit personal data for employment, communicate with us, register for an online account, create a profile to purchase a product, or subscribe to, use, or access our POS systems, software, and mobile application services offered through our Customers (collectively, our “Services”).

  • Visitor: Any person who visits the Volanté website.
  • Customer: Any person, organization, or business who has purchased Volanté’s products and services.
  • User: Any individual and/or employee who creates an account or accesses Volanté’s POS Services through a Customer.

When delivering Services to Customers, Volanté is a data processor, processing personal data on behalf of Customers. Volanté is a data controller when collecting, using, and disclosing personal data of website visitors.

This Privacy Statement does not apply to third-party websites, applications, or services. Our Clients also have their own Privacy Statements.

2. What Is Personal Data?

“Personal data” means any information that relates to an identified or identifiable natural person. This includes name, address, email, phone number, birth date, banking and credit card information, past purchases, meal and food preferences, and other identity data. Some information identified as personal data may not be protected as such under applicable privacy laws.

3. What Personal Data Do We Collect About You, and For What Purposes?

We collect personal data directly from you when you visit our website, purchase a product, inquire about Services, or submit data for employment. We also process personal data to deliver our Services to Customers and Users.

Categories of personal data collected include:

  • Account Registration Data: Name, surname, email address, password. Used to administer your account and Services.
  • Meal Plan Data: Food item choices, nutrition preferences, allergies, dietary restrictions. Used to provide Services and personalize experiences.
  • Purchase Data: Account transactions, employee ID, account balance, badges, meal cards, transaction history, billing, and shipping details. Used for purchases and shipping; credit card info processed by third-party providers.
  • Marketing Data: Contact information, preferences, purchase history, cookies, browsing habits. Used for marketing and personalized advertising.
  • Customer Database Module Data: Name, room number, allergy info, badge number, patient ID, date of birth, dietary restrictions, social activities, participating retailers. Used for functionalities in retirement and senior living industries.
  • Usage Information and Technical Log Data: Technical logs, IP address, browser type, operating system, number of visitors, pages viewed, visit length, location, language, device info. Used to monitor and secure the website.
  • Employment Data: Education, professional experience, contact info. Used for employment decisions.
  • Communication Data: Contact info, message content, SMS. Used to respond to communications.

4. Do We Use Cookies, and For What Purposes?

We use cookies for Services functionality, marketing, performance analysis, and security. Cookies may be session-based or persistent (up to 24 months). Types of cookies:

  • Essential Cookies: Necessary for core website functions.
  • Functional Cookies: Provide website functionalities and remember preferences.
  • Analytical Cookies: Generate aggregated statistical data about website traffic and behavior.

You can also install the Google Analytics opt-out browser add-on and manage advertising preferences through platforms like the Digital Advertising Alliance, Google Ads, Facebook Ads, LinkedIn Ads, and YouTube Ads.

7. How Can You Unsubscribe from Our Communications?

You can unsubscribe from communications at any time using the unsubscribe link in our messages or by contacting privacy@volantesystems.com. Promotional emails may contain cookies and tracking technologies.

8. Do We Share Personal Data with Third Parties?

We identify to whom and for what purposes we disclose your personal data at the time of collection or with your consent. We may transfer personal data to service providers assisting in our operations, such as payment processors, delivery providers, employment service providers, hosting providers, communications providers, analytical service providers, and ad conversion tracking providers.

We may also use and disclose your information as permitted or required by law, to comply with legal processes, enforce policies, protect rights and property, collect owed amounts, pursue remedies, protect safety, prevent fraud, or address emergencies.

9. How Do We Protect Your Personal Data?

Volanté uses industrial-strength security features, including point-to-point encryption, PCI DSS compliance, and physical, organizational, contractual, and technological security measures. Access to personal data is restricted to authorized personnel. Electronic data is protected by firewalls, access controls, and encryption. Employees are sensitized to the importance of safeguarding personal data.

No method of transmission or storage is completely secure. Users are encouraged to use strong passwords and safe networks.

10. Where Do We Store Your Personal Data?

Our cloud-based platform is hosted on Google Kubernetes Cloud servers in the United States. Customers may choose to store data directly on the POS system. Data stored in the US is subject to US laws. Volanté uses reasonable measures to protect data as it would in Canada.

11. How Long Do We Retain Your Personal Data?

We retain personal data as long as required for its purpose or as required/permitted by law. Online account data is retained as long as the account exists. Account deletion requests should be sent to the Customer with whom the account was set up.

12. What Are Your Personal Data Rights?

You have rights regarding your personal data, which may vary by location and data type. Most individuals have the right to access and request corrections to their personal data. To exercise your rights or for questions, contact privacy@volantesystems.com or write to the Privacy Officer at the address above.

Requests may require proof of identity. Responses are provided within thirty (30) days unless otherwise agreed. If denied, you will be notified in writing with reasons and information on how to contest the decision.
